ORGANIZATIONAL OVERVIEW

FHI 360 is a US-based NGO dedicated to improving lives in lasting ways by advancing integrated, locally driven solutions.  FHI 360’s Crisis Response team is responding to the humanitarian emergency with the 16-month Ukraine Humanitarian Assistance Response Program (UHARP II), providing integrated health and protection programming focused on decreasing morbidity and mortality among the conflict-affected population.

POSITION OVERVIEW 

This position is characterized by the performance of the transport function to support country office operations. Duties performed may include implementing logistics fleet management policy, tracking movement of goods and personnel, management of generators, reporting, and backstopping warehouse and procurement, when required.

The position reports directly to the Logistics Coordinator.

KEY RESPONSIBILITIES AND DELIVERABLES

  • Oversee the FHI 360 fleet of vehicles and drivers in accordance with FHI 360 policies and procedures.
  • Review Movement Request applications and allocate vehicles and drivers to meet program demands and avoid overtime requirements where possible.
  • Focal point with vehicle leasing company in terms of ensuring Inspection, handover and returns of rental vehicles are carried out correctly.
  • Ensure that all FHI 360 fleet management guidelines are always applied including logbooks and maintenance sheets.
  • Contribute to the improvement of any processes and guidance documentation related to fleet management.
  • Prepares requests for vehicle hire and work with logistics to maintain vehicle leasing tracking sheet.
  • Oversee and provide support in any vehicle incident reporting working closely with the security team.
  • Coordination with Field Offices to record and update vehicle usage data for monthly reporting.
  • Be on the recruitment panel for driver interviews and prepare hiring documentation as required for these roles
  • Oversee the maintenance of vehicles and generators for all locations
  • Prepare and submit monthly reports like Generator & Fuel Consumption, Fuel Purchase Tracker

DESIRED QUALIFICATIONS 

  • 3-5 years of experience in a fleet management role.
  • Proven experience in technical areas such as vehicle mechanics, generator maintenance, scheduling, convoy /trip management and use of communication systems.
  • Prior work experience in non-governmental organization (NGO) is preferred.
  • Fluent in Ukrainian and excellent in English.
