We are looking for an Admin Coordinator to oversee our office’s day-to-day functioning and help the team operate smoothly on daily activities. This role is well suited for someone passionate about teamwork and employee experience. The best candidate will have exceptional interpersonal and relationship-building skills, be highly detail-oriented, and manage time and resources effectively.

As an Admin Coordinator you will:

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly. Fix all problems in the functioning of the office
  • Manage the purchase, delivery, and update of equipment for current employees, coordinate their repairs if necessary
  • Manage the purchase and delivery of equipment and welcome kits for newcomers
  • Organize the workplace for newcomers and update workstations for the current team if needed, including remote
  • Manage relationships with office vendors such as cleaning services, maintenance, delivery, etc., and manage the relevant expenses and documentation
  • Purchasing office supplies and maintaining proper stock levels. Handle paperwork with office suppliers
  • Purchasing gifts for the team in case of specific events (marriage, baby born, etc.)
  • Supervising, mentoring, training, and coaching cleaning staff and delegating assignments to ensure maximum productivity
  • Manage office budget
  • Coordinate Readdle Shelter project
  • Initiate general office space improvements to create a perfect workplace for our team
  • Create a welcoming and supportive environment for all of our employees and guests
  • Manage and optimize food delivery services to be sure that all Readdlers are provided with lunch and drinks
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Assist with office layout planning and office moves, and transformations
  • Support Readdlers with business trips and organizing joint work in different locations (help to find best tickets and hotel options, book a meeting room, co-working, etc.)

Required qualifications:

  • 1+ years of work experience in a similar or close position
  • Excellent interpersonal and communication skills
  • Meticulousness and attention to detail
  • Ability to maintain multiple schedules and projects simultaneously
  • Intermediate English level or higher
