Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) in Ukraine is seeking a qualified professional for the Country Office to fill the position:

Procurement and Contracting Assistant (full-time, Kyiv)

(internal SAP code: Procurement and Contracting Assistant)

Areas of responsibility:

  • Effective cooperation with colleagues from other departments/projects at headquarters (contract department, procurement specialists, etc.);
  • Preparation of internal reports, graphics, presentation, internal documentation of C&P department;
  • Making changes / improvement of C&P department in digitalization of GIZ;
  • Organization of documentation workflow (between C&P department and other organizational units/archive) according to the GIZ rules and guidelines;
  • Procurement of goods and services;
  • Conducting of market analysis, evaluation of results, contribution to the development and maintenance of the supplier pool.

Tasks:

  • Support of Procurement specialist during the tender and other procurement procedures (meetings, organization of technical evaluation of the offers, ad-hoc draft of documents);
  • Providing support for Procurement specialist with long-term contracts;
  • Systematization and maintaining database (supplier’s pool, files overview etc.);
  • Checking for Files conformity (signatures, completeness etc.);
  • Carrying out market analyzes, summarizing the data necessary for the analysis;
  • Organization of documentation workflow (between C&P department and other organizational units/archive) according to the GIZ rules and guidelines;
  • Maintenance and support of online/offline meetings of C&P department;
  • Tracking and support in implementation of changes/improvement in digitalization of GIZ;
  • Maintenance of implementation (testing) of changes in procurement procedures/guidelines;
  • Support of C&P department with internal reports, graphics, presentation, internal documentation.

Requirements for the candidates:

  • BA or MA degree;
  • Work experience in international organizations;
  • Outstanding working knowledge of ITC technologies (related software, the internet, video- conferencing system), MS Office/Office 365 (Outlook, Excel, Word, Power point, MS Teams);
  • Very good knowledge of English.

Employment conditions

Full-time position with 40-hours working week. Place of assignment is Kyiv. Start date – as soon as possible. Contract duration is 1 year, prolongation is possible.
