The Investment for Business Resilience (IBR) Activity, (formerly known as the Financial Sector Reform Activity), is a five-year program funded by the United States Agency for International Development (USAID) and managed by DAI Global LLC (DAI). The purpose of the Activity is to support systemic changes in Ukraine’s economy and to increase the supply of finance available to Ukrainian businesses. IBR aims to transform the country’s financial sector into a sophisticated, well-functioning, competitive market that is aligned with European Union (EU) standards and integrated into international financial systems. At the same time, the IBR will support the transformation of Ukraine’s financial sector and work to mobilize private finance for sustained economic growth in Ukraine.

The IBR is looking for candidates to fill in the AWARDS COORDINATOR position, LTTA in Kyiv or Lviv.

PURPOSE OF THE ROLE: 

The Awards Coordinator is a member of the grants management team and is responsible for proficiently managing the workflow of a sizable and complex array of grants to financial institutions and small and medium-sized enterprises in Ukraine. The Awards Coordinator tracks the status of applicants and grantees and ensure the smooth and on-time workflow of the grant process. This includes tracking and monitoring the workflow of grants, from solicitation, review, short-listing, selection, approval, monitoring and evaluation.

OBJECTIVES AND DUTIES:

  • Participate in the process and development of calls for proposals. Manage the posting and distribution of all solicitations. Work closely with the technical team and grants team to market and solicit applications from private institutions and enterprises.
  • Administer the application process. Develop tracking system. Set up and maintain a secure document filing system.
  • Receive inquiries, respond or refer for response.
  • Receive applications, confirm receipt, conduct initial screening and vetting for completeness of applications, and enter into tracking system. Assign applications for technical and compliance review.
  • Track and maintain a timely review process with technical and grants teams. Provide daily updates to technical and grants teams and weekly updates to leadership and USAID on applicants and grantees.
  • Schedule and help organize selection, approval and due diligence process for applicants. Work with technical and grants team to prepare and submit approval packages for internal and USAID approval.
  • Track grantee reporting, milestones and targets. Screen reports for completeness and compliance. Send out reminders and follow up on delayed or incomplete reporting.  Assign and track technical team verification and approval of all reports and deliverables.
  • With MEL Team, track completion of grantee requirements and payments.  Provide weekly updates to technical and grants teams, leadership and USAID on grantees.
  • Maintain all required grants management documentation and ensure entry of grants information in DAI’s electronic management system (TAMIS and SharePoint) from solicitation to grant close-down.
  • Work closely with the grantee, the technical teams, and the grants team to ensure timely closeout, disposition, and final reports for grants and any post grant reporting.
  • Prepare accurate and timely progress reports on overall grant activity on a quarterly basis and contribute to preparation of annual reports.
  • Other duties as assigned by the Grants Managers and or Chief of Party that are consistent with the overall focus of the assignment.
  • Participate in quarterly Pause and Reflect sessions.  Identify areas of for improvement in grant-making based on experience and feedback from grantees.

QUALIFICATIONS: 

  • Bachelor’s degree in international development, business, accounting, or related field is required.
  • Minimum of 4 years’ of professional experience; experience working with USAID-funded grants strongly preferred.
  • Demonstrated experience in organizing workflow such as tracking grantees, vendors, clients, subcontractors or other engagements for the purposes of business process optimization, contractual compliance, and internal approvals.  Proven ability to develop and implement tracking systems.
  • Strong interpersonal skills and written and oral communication skills. Ability to directly and politely engage with all partners.
  • Strong organization skills and attention to detail.
  • Language requirements are as follows:
    • Ukrainian Fluency
    • English level III (General working proficiency) Reading/Writing/Speaking. Preference will be given to the candidates with English level IV (Fluent).
  • Highly skilled in Microsoft Office suite products (Word, Excel, Power Point, Teams).
