IREX in Ukraine seeks a qualified Human Resources Assistant who, under the guidance of the Human Resources Manager, will assist in recruitment activities & routine administrative activities of the HR Department and provide HR support to the IREX staff in Ukraine.

S/he should deal with preparation and submitting various contracts, additional agreements, personal documents, compilation of personnel files and staff e-databases. He/she should assist in ensuring the full cycle of recruitment and selection, posting a vacancy announcement, finding a suitable candidate, evaluating resumes, preparation of all necessary documents for the completion of recruitment in accordance with the IREX internal requirements.

The HR Assistant must be able to deal effectively with people and handle all tasks assigned.

Performs additional duties and tasks to meet the needs of the organization, team, or as assigned by a supervisor.

Your Background & Skills

  • Bachelor’s degree in business administration or any related field.
  • Minimum of 1+ years of relevant experience
  • Previous experience in filing system is preferred.
  • Working Experience with international donor funded programs preferred.
  • Experience with a wide range of recruitment technology applied to sourcing, screening, and hiring.
  • Knowledge of accepted Human Resources practices and procedures.
  • Good knowledge and understanding of Ukrainian Labor Law.
  • Good knowledge of MS Office packages.
  • Attention to detail.
  • Time management and prioritization skills
  • High analytical and reporting skills.
  • Tactful and diplomatic.
  • Excellent interpersonal skills and ability to work in a team-oriented environment.
  • Ability to work well in a cross-cultural environment.
  • Skills in database management and record keeping.
  • Fluent in English and Ukrainian is required.

Your Daily Tasks

  • Assist IREX/Ukraine personnel files and ensure that employee records are complete in IREX HR information systems.
  • Compile and process employee documentation and records, and keep the employee database up to date (online and physically with personal files)
  • Assistance to the HR Manager with the administration of documents in accordance with the legislation and internal policies of the IREX (such as but not limited to hiring, firing, transferring, etc.)
  • Monitor compliance with local regulations and labor codes.
  • Help recruit personnel: place job announcements on job search websites and appropriate communication channels, screen resumes, organize interviews, preparation of all necessary documents for the completion of recruitment in accordance with the IREX internal requirements. and participate in the interview process if required.
  • Supports employee onboarding, training, and development if required.
  • Prepare necessary HR documents (both IREX internal and locally required) for newly hired/dismissed (resigned) employees in a timely manner; create PAFs in HR information systems and upload all necessary information.
  • Support with an annual performance review cycle for IREX/Ukraine, file completed annual performance evaluation forms, and process resulting addendums to employment agreements.
  • Assist with timely contract prolongations, issue notices about termination of staff.
  • Serve as a liaison with GDIP in IREX/Ukraine HR matters; send all locally required documents to GDIP for processing.
  • Support with covering and including all employees for life and health insurance.
  • Provide necessary information to Finance staff for payroll calculations and processing.
  • Provide assistance and support for employees if required.
  • Other duties as assigned.
