If you’re great at organising meetings, handling documents, and getting operational tasks done, you’re the one! You’ll manage our client meetings, plan and organise office events, ensure invoices are paid on time, maintain documentation, and keep our office stocked with supplies. Plus, you’ll coordinate with our legal and finance teams and manage our office contractors. If you can juggle all this and still keep a smile on your face, join us!

Key Responsibilities:

  • Clients meetings preparation: prepare everything necessary for the meeting
  • Handle operational tasks such as gathering information, generating reports, and working with documents.
  • Solving administrative questions with guru-like expertise.
  • Organise and coordinate office parties and events that everyone talks about.
  • Payments control: Ensure every invoice gets its day and payment.
  • With the legal and finance teams maintain and organise documentation with our contractors
  • Ensure the office is always stocked with essential supplies.
  • Oversee the management of incoming and outgoing parcels.
  • Manage the production process of our team merchandise, including planning and budgeting.
  • Cooperate with office contractors (water supply, postal service, flower service, event contractors, etc.).

Hard Skills:

  • Experience: You’ve got 2+ years of relevant experience.
  • Language level: English at an Upper-Intermediate+ level. Perfect written and spoken Ukrainian
  • Familiarity with tech tools: ClickUp, CRMs, Keynote, Google Sheets/Microsoft Excel and the rest of the gang.
  • Experience with agreements, contracts, NDAs, and all those official-looking papers.
  • Familiarity with billing and invoice processes
  • Work experience in creative agencies will be a big plus
