The Investment for Business Resilience (IBR) Activity, formerly known as FSR, is a five-year program funded by the United States Agency for International Development (USAID) and implemented by DAI Global LLC. The purpose of the IBR Activity is to support systemic changes in Ukraine’s economy and increases the supply of finance available to Ukrainian businesses. IBR aims to transform the country’s financial sector into a well-functioning and competitive market that is aligned with European Union standards and integrated into international financial systems, while directly providing financing to enterprises for sustained economic growth.

IBR is organized into four thematic areas:

•           New Investments Facilitation for Enterprise Growth

•           Deepened Private Sector Financial Intermediation and Expanded Private Finance

•           Improved Market Regulation and Financial Infrastructure

•           Enhanced Transparency and Communications about Financial Sector Reform.

The IBR is looking for candidates to fill in the Project Executive Assistant, LTTA in Kyiv.

PURPOSE OF THE ROLE:

The Project Executive Assistant provides operational and administrative assistance to the project leadership and performs a variety of coordination, communications, and logistic services to support the implementation of all project activities.

OBJECTIVES AND DUTIES:

  • Support the daily administrative, logistics and operational needs of the COP.
  • Organize and maintain project incoming and outgoing correspondence flow.
  • Register all incoming mail, and distribute mail to the appropriate person, send incoming correspondence for translation if necessary.
  • Maintain and timely update project’s counterparts contact lists.
  • Assist with planning, scheduling meetings, making appointments, and sending invitations.
  • Keep COP schedule up to date.
  • Prepare for and coordinate executive meetings, including agenda setting, documentation, and follow-up on action items. Take meeting minutes, draft memos to file during project meetings and events.
  • Support the COP in preparing power point presentations and materials for internal and external meetings and events.
  • Assist COP in making photocopies, drafting and formatting documents and correspondence in English and (or) Ukrainian languages, sending technical documents, coordinating with the translator to translate project documents as needed.
  • Ensure efficient documentation workflow, including timely signing of the documentation by COP and mailing in Kyiv office.
  • Oversee and assist with proper archiving of documentation on the project Share Point.
  • Assist in the planning and oversight of events such as annual work planning meetings, annual retreats if needed.
  • Help project leadership establish and maintain communication and coordination channels with government offices, local organizations, donors, recipients, vendors, etc. and others by acting as a liaison with those external parties.
  • Provide ad-hoc translation and interpretation.
  • Handle confidential information with discretion and professionalism.
  • Perform other duties as assigned by Supervisor.

QUALIFICATIONS:

  • Bachelor’s degree and 3 years of relevant experience are required.
  • Familiarity with international donors and prior experience with USAID-funded projects preferred.
  • Strong administrative, coordination and organizational skills.
  • Proactive approach to problem solving. Ability to multi-task to meet set deadlines.
  • Excellent interpersonal skills, including a track record of successful coordination and effective working relations with a wide range of counterparts.
  • Strong communication skills both written and oral in English and Ukrainian.
  • Excellent computer skills (MS Office suite) are a must.
