Organisation Background

Founded in 2011, the International NGO Safety Organisation (INSO) is an international non-governmental organization that supports humanitarian aid workers by establishing safety coordination platforms in insecure contexts. INSO provides registered NGOs with a range of free services, including real-time incident tracking, analytical reports, safety-related data and mapping, crisis management support, staff orientations, and training.

INSO provides daily support to more than 1000 NGOs operating in the world’s most insecure countries.

INSO is headquartered in The Hague, Netherlands- the international city of peace and justice.

INSO Ukraine

INSO Ukraine opened in 2015. Since the escalation of the conflict in February 2022, it has rapidly expanded to a full platform serving the needs of NGOs in a fast-evolving conflict. Currently, more than 300 national and international NGOs receive INSO services. Our country office is in Kyiv, supported by field offices in Lviv, Dnipro, and Odesa. The scale and intensity of the Ukraine conflict have seen significant humanitarian safety challenges. As part of INSO Ukraine, you will play a key role in developing impactful services for humanitarian safety and helping aid reach people in need.

INSO is now seeking a Training Assistant based in Lviv.

Job Summary

As a Training Assistant, you will play a key role in the planning, organization, delivery, and evaluation of the Humanitarian Environment Individual Safety Training (HEIST) course. This course aims to support aid workers in enhancing personal risk mitigation and personal safety skills and improving humanitarian access. You will work as part of a 13-person team, including three other Training Assistants, collaborating closely to ensure the smooth execution of training sessions.

To be a successful candidate, you should have a strong background in administration, logistics, or coordination within the NGO sector, ideally with experience supporting training courses or events. You should be outgoing, detail-oriented, and able to maintain an overview of multiple tasks. Above all, you will share INSO’s commitment to humanitarian principles.

This position is open to Ukrainian nationals only, reports to the Training Manager, and is based in Lviv.

Major Responsibilities:

Administrative and logistical support for training:

  • Oversee administrative tasks of the training department, handling internal and external communication on training-related matters (email, phone).
  • Manage the training calendar, organize participant invitations, and monitor registrations using MS Forms or Customer Voice.
  • Organise and oversee training materials, inventory, and supplies, ensuring equipment readiness and overseeing stock needs.

Preparation and delivery of training courses:

  • Assist Training Officers in preparing and setting up materials and coordinating logistical needs before and during sessions.
  • Support logistical coordination, including supervising suppliers, coordinating and liaising with service providers (training facility, actors), and setting up training spaces.
  • Participate in facilitating certain parts of the training, including driving INSO vehicles during practical simulations with participants.
  • Assist in the planning and preparation of training sessions, including setting up training space and simulations/practice and printing documents.

Quality monitoring and reporting:

  • Participate in gathering feedback from INSO partners on training quality and impact, compiling and correcting pre-and post-training tests, and processing surveys.
  • Assist in drafting training reports in English and collecting testimonials from participants.

Mandatory requirements:

  • Fluency in Ukrainian and English (written and spoken).
  • Diploma in a relevant field or equivalent work experience in administration, logistics, or event planning.
  • Minimum of 2 years’ experience in administration, logistics, or coordination, with demonstrable skills in Microsoft Office.
  • Valid driving license.
  • Strong commitment to humanitarian principles and ability to excel in a multicultural work environment.

Preferred Characteristics:

  • Familiarity with humanitarian principles and experience in the humanitarian sector.
  • Ability to keep an overview of multiple tasks and responsibilities.
  • Flexibility, proactive attitude, and ability to work effectively in a demanding environment.
  • Excellent interpersonal skills and strong organizational abilities.

Terms and Conditions:

  • 12-month renewable contract with a 3-month probationary period.
  • Expected start date: 01 January 2025
  • Gross salary: 59,000 UAH.
  • Based in Lviv.
