Job Title: Procurement and Logistics Assistant

Duty Station: Kyiv, on-site work. Full-time position.

Expected starting date: as soon as possible

Expected end date: 30 April 2025 with possibility of extension

Reporting Line: The Procurement and Logistics Assistant reports to the Deputy Head of Mission

CESVI

CESVI is an international NGO, with headquarters in Italy, operating in Ukraine since 2022 and represented by its Separate Subdivision, EDRPOU code 26635730.

Scope of the Position: The Procurement and Logistics Assistant supports CESVI team in Ukraine in its daily administrative, procurement and logistics duties to ensure CESVI projects receive adequate support in respect to CESVI internal procedures and Donors’ guidelines.

Key Responsibilities and Duties:

Procurement and Logistics Support

  • Conduct transparent and efficient market research and selection of potential service providers/suppliers;
  • Submit the request for quotation to service providers to feed the database of the suppliers, and price list of goods and services available in the country, and conducts negotiations when needed;
  • Assist in procuring goods and services, and provide administrative support for payments, contracts, and other related tasks;
  • Organize and maintain electronic and hard copies of financial and procurement files. Manage delivery of hard copies to the parties;
  • Monitor the vehicles’ maintenance and movements;
  • Assist with translation when needed with suppliers and third parties;
  • Assist with booking of flights, accommodation, train tickets and other duties related to the movement of the staff when required;

Office and Guest House Management

  • Manage and maintain the office/GH premises being responsible for the maintenance of the office/GH, office equipment, identification and purchase of the items and equipment needed for the correct functioning of CESVI offices and GH usage;
  • Manage and update the inventory in a timely manner, lead the yearly physical verification;
  • Contribute to the identification and selection of new offices and guesthouses in the country;
  • All other duties as assigned by the Deputy Head of Mission.

Qualifications:

  • University degree, preferably in business administration or related field.
  • 1-2 years of relevant working experience. Assistant will be trained in all aspects of logistics/procurement. If you are energetic, analytical, hardworking, honest, and willing to learn, consider applying. Recent university graduates with English skills are also welcome to apply.
  • Desirable previous professional experience with NGO.

  • Excellent administrative, organizational, and multi-tasking skills.
  • Flexible, focused, and reliable in an environment of changing demands.
  • Excellent interpersonal and communications skills, with demonstrated ability to communicate effectively in a cross-cultural environment.
  • Strong computer skills including knowledge of Microsoft Excel, Word, and Office applications.
  • Driving license.
  • Fluent in the Ukrainian and in English languages.
