The Resource Coordination Assistant is the Public Diplomacy locally employed staff responsible for managing all administrative aspects of the Public Engagement Unit. Supports Public Engagement Unit specialists and assistants for exchanges and other public engagement programs and activities. Supports grants administration; tracks and collaborates on PD budgets and expenditures. Oversees Public Engagement Unit time and attendance, staff travel, representation, vouchers, and other administrative tasks; manages program calendars and helps oversee and actively maintain the Unit’s use of Salesforce platforms (CRM, PD Tools), and helps track relationship development with key Unit contacts. Serves as the local staff primary point of contact for the Public Engagement Unit, ensuring that visitors receive accurate and timely information with the highest levels of customer service.

Qualifications:

Option 1
Experience:
Three years of experience in administrative services, procurement, customer service, or events management is required.

Education:
A university degree in Communications, Business Administration, Financial Management, Organizational Management, Public Administration, or local equivalent is required.

Option 2
Experience:
Five years of experience in administrative services, procurement, customer service, or events management is required.

Education:
Two years of college/university studies is required.

Fluent (writing/speaking/reading) English
Fluent (writing/speaking/reading) Ukrainian
SKILLS AND ABILITIES:
Must have strong analytic skills to manage funding from multiple sources with different requirements. Must accurately assess resource challenges and identify solutions. Must perceive significant changes in operations and adjust accordingly. Good keyboarding and data entry skills. Excellent familiarity with electronic discovery tools and standard information retrieval practices. Proficiency in Microsoft Word, Excel, databases. Ability to support use of digital and visual tools. Excellent numerical skills for processing documents, developing equipment lists, and monitoring budgets.
