DAI Global, LLC (DAI) is seeking a qualified professional to fill the long-term position of Executive Assistant for the USAID Financial Sector Transformation Project (FST).
The USAID-funded Financial Sector Transformation Activity in Ukraine (Ukraine FST) is a four-year activity that aims to transform and stabilize Ukraine’s financial sector. In coordination with the Government of Ukraine and the international donor community, the objectives of this activity include increasing public confidence in, understanding of, and use of the banking system; transforming the non-bank financial sector regulatory environment, including the Ukrainian capital markets; increasing access to finance for small businesses and financial inclusion; expanding financial inclusion through enhanced digital finance; and supporting a balanced and sustainable pension system.
The Executive Assistant will manage information flow between Chief of Party and project staff, manage schedule for Chief of Party and other identified office needs below, manage project logistics, etc.
Duties will include:
Managing day-to-day operations of the office including answering phone calls, greeting visitors and directing them to the appropriate staff member;
Maintaining project meeting calendar, notifying staff about scheduled meetings and events, maintaining conference rooms’ schedule;
Organizing and maintaining project correspondence;
Receiving and registering all incoming mail, and distributing mail to the appropriate person, sending incoming correspondence for translation if necessary;
Reviewing and prioritizing, as necessary, all correspondences addressed to the project, setting up processes to manage the efficient flow of documents across the COP’s desk;
Maintaining and timely updating project’s counterparts contact lists;
Maintaining project driver scheduling;
Coordinating logistics of all project staff and short-term consultant travel needs, including visas, hotel reservations, airport transfers, tickets, etc.;
Acting as alternate petty cash custodian when needed: managing petty cash disbursements, maintaining a petty cash log, participating in regular cash counts, and requesting petty cash replenishment as necessary;
Performing other duties as assigned by Supervisor.
Qualifications
A. Degree;
2 + years of relevant experience administrative position;
Experience working on a USAID-funded project preferred;
Familiarity with USAID rules and regulations preferred;
Experience with and Microsoft office suite;
An energetic, forward-thinking and creative individual with high ethical standards;
Must be well organized, flexible, skilled at handling multiple tasks, and able to adhere to deadlines;
Must have a forward-thinking and pro-active approach to working;
Fluency in English and Ukrainian is required.
Reporting:
The Executive Assistant will report to the Ukraine FST Director of Finance and Administration.
