 Position Title: Supply Chain Assistant

Duty Station: Vinnytsia, Ukraine

Classification: General Service Staff, UG (1400 USD per month)

Type of Appointment: Special Short-Term, Six months with possibility of extension

Estimated Start Date: As soon as possible

Context:

Under the general supervision of the Chief of Mission (CoM) and Sr. Resource Management Officer and the direct supervision of the Procurement and Logistics Officer, the incumbent will be responsible and accountable for provision of transparent and efficient procurement services and processes in the IOM Mission in Ukraine.

Core Functions / Responsibilities:

  1. Organize the procurement processes, including preparation and conduct of request of quotations/proposals, receipt of quotations, bids or proposals, their evaluation, negotiation and conclusion of contracts, ensuring the cost saving and reduction strategy.
  2. Facilitate the full compliance of procurement activities with IOM rules, regulations, policies and strategies.
  3. Ensure proper maintenance of procurement records, regular update of contract, procurement and administrative hard copies and electronic data bases.
  4. Prepare statistic and administrative reports, including the follow up of the reimbursement scheme.
  5. Provide administrative and logistical support in shipment/customs, brokerage related, staff relocation issues, and IOM activities including organization of conferences, training events, workshops, retreats, humanitarian aids.
  6. Assist with monitoring of logistic services, including maintenance of buildings, maintenance of the fleet of the IOM Mission.
  7. Support the performance of inventory control and assets management, maintain the records and files on assets management, coding and tagging.
  8. Be responsible for the administration of the SAP MM module, including the constant tracking of the most recent changes in the procedures.
  9. Provide general support to the administrative desk in external/internal communication and correspondence.
  10. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • High school diploma or equivalent with at least four years of relevant work experience.

OR

  • Bachelor’s Degree or equivalent (preferably in business administration, management or logistics) with at least two years of professional work experience.

Experience

  • Excellent level of computer literacy;
  • Experience of work for international organizations is an asset.
  • Good knowledge of SAP/PRISM an advantage;

Languages

Fluency in English, Ukrainian is required.

A prerequisite for taking up the position is legal residency in the country of the duty station and work permit, as applicable.
