Receptionist (full-time, Kyiv)

In the last few years, Ukraine has developed and adopted various laws in favour of an ambitious decentralisation reform, which was meant to reshape the relations between the national, regional and local levels and build institutional capacity. Given the important new tasks, responsibilities and financial resources that local self-governments were given, the implementation of the reform required to be accompanied by expert advice, trainings and diverse support measures. U-LEAD (Ukraine-Local Empowerment, Accountability and Development) with Europe was launched to become a special measure conducted as a multi-donor action by the EU and its member states Germany, Estonia, Sweden, Denmark, Poland and Slovenia to support the Ukrainian government in the implementation of the decentralisation reform.

Area of responsibilities:

  • Meets and greets House of Decentralisation’ (hereinafter – HoDec) visitors and guests;
  • Answers incoming phone calls;
  • Processes incoming invoices;
  • Supervises courier services;
  • Organizes the deliveries of different types of materials and goods to 24 Ros;
  • Supervises stationery and other goods;
  • Supports office work, provides assistance to HoDec’ staff;
  • Ensures creation and regular update of lists of contacts/ addresses/ birthdays/ etc;
  • Drafts business letters, emails when required;
  • Initiates creation of various SRs based on supervisor requests;
  • Participates in procurement related processes (conduct of market research, supplier choice justification, cost calculation preparation, etc.);
  • Provides back-up support to Office Manager;
  • Performs other duties and tasks at the request of superior/ management/ HoDec staff.

Requirements:

  • Bachelor Degree;
  • Excellent command of Ukrainian and English;
  • At least 1-2 years’ professional experience in a comparable position in the international environment;
  • Experience with courier services and purchase of goods is a must;
  • Basic understanding of payment documents (for goods and services) is a must;
  • Neat and professional appearance, polite approach in dealing with visitors and staff in HoDec;
  • Responsible approach to daily tasks;
  • Team player with intercultural communication skills, customer and service-oriented attitude;
  • Strong attention to details and ability to work with numbers;
  • Ability to multitask;
  • Readiness to provide solutions within the area of responsibility;
  • Good working knowledge of computer applications and IT technologies (MS Office, phone, email, internet, technical equipment for meetings and conferences, etc.);
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with superior.

Employment conditions

The assignment starts as of May 2, 2023. Full time position with 40-hours working week. Place of assignment is Kyiv. The contract duration is till December 2023.
