We all had a school dream of starting our own business

In 2014, two Kyiv Polytechnic Institute students — Sasha and Andrii — founded the company.

I have always wanted to run my own business. Before creating Reprezent, I had made several unsuccessful attempts. When Sasha came to me with an idea and a proposal to start our own business, I accepted this proposal at once. We created the name of the future company in 10 minutes.

Later, a few more people joined them. The team started working in an anti-cafe, then in a dormitory, and the premises of one of the Kyiv Polytechnic Institute student organizations. These places were always crowded with students. After a while, the company moved to its own office, and the staff began to expand. However, the pandemic made its own adjustments. The company offered to work online, and the employees liked it. Nowadays, the entire team works remotely, but the friendly Reprezent Family gathers for corporate events from time to time and spends time together.

What do Reprezent do?

Reprezent has been on the market since 2014. It has managed to implement hundreds of cool projects. Among their clients are large Ukrainian and international Fortune 500 companies: Salesforce, PepsiCo, 3M, AEQUO, KIVI, Uklon, and others. The company also cooperates with TEDxKyiv and helps prepare presentations for speakers.

The company constantly develops others. It has created an online course on PowerPoint and conducts corporate training on presentation design. In total, Reprezent has already trained 2500+ people.

I have been part of the Reprezent team for three years now. During this time, I managed to grow from a design intern to an art director and decided that design in my life is not just a hobby but the right thing for a decent adult job.

My colleagues helped me to become more confident and feel free at work. Everyone was open and ready to teach me everything I did not know. After working in a company with a nesting hierarchy with 18 bosses, a million levels of approval, and no opportunity to implement your ideas, joining Reprezent was a breath of fresh air.

I like to learn from other people and adopt their experiences. I always listen to the advice of our Creative Director — Andrii. I feel that my design skills improved after each of his reviews. Reprezent's principles

  1. Never stop on first idea. A solution often comes quickly. However, it may be trivial, such as ‘three icons + text’. If you stop there, you will never come up with anything better. To find more fascinating solutions, you should say: ‘Okay, I have already come up with one option, so I can return to it at any time.’ Always keep thinking.

  2. Monitor quality. An essential principle of Reprezent's work is to check its work constantly before sending it to clients for getting feedback. That's why the company has internal standards that designers and account managers must adhere to, and a checklist to check before communicating with clients.

  3. Listen to clients. The team always has its own design vision. However, employees understand that no one knows the business better than the client. That's why the team always remakes the presentation until it matches the ideal picture in the customer's head.

  4. Support each other. If someone is short of ideas, they will be backed up and helped to find creative solutions. To do this, the team has an Art Director and a Creative Director who can always provide guidance on a particular topic and set the right direction.

The team works remotely, and everyone is responsible for their part of the project

The core team includes the CEO and COO, who look for business development opportunities; art and creative directors, who monitor the quality of work; and several account managers, who communicate with clients. The team of freelance designers create the presentations. Reprezent usually hires them for long-term cooperation. In addition to designers, the company sometimes works with copywriters on a project basis.

As the team is small, everyone has the opportunity to grow and try themselves in different areas.

I have been working at Reprezent since 2018. I am a person who is used to changing jobs every year. Everyone will agree that working for the company since 2018 is quite a long time for me 😅. I started as an account manager and grew to become a changemaker, a person who implements small changes. For example, I develop work standards for account managers and designers to simplify and speed up the process of creating a high-quality presentation.

At Reprezent, I like the flexibility and openness to new ideas, people, projects, and knowledge. We have a highly developed culture of knowledge acquisition: if you do not know something, you are provided with resources to learn. It can be a subscription to courses like Projector and Masterclass, a personal training meeting, or other options.

There is no strict schedule at the company. The employees should be at work from 10:00 to 19:00, because about 60% of company clients are Ukrainian companies, and there is a need to communicate with them during business hours. However, they can always leave their workplace for a few hours and go to the doctor, the gym, or go for a walk. The employee just needs to note that they will be unavailable at a certain time in the shared calendar.

At Reprezent, we do not pass the buck. If a team member is not familiar with some information, they do the following: Google ask a colleague ask a client. In other words, everyone tries to find the answer on their own and only then asks for help. Decision-making is also the responsibility of each employee. For example, account managers, based on their own experience and available data, can decide on their own whether it is worth setting up a project or whether it will be unprofitable for the company.

No one is punished for wrong decisions here. However, it is essential to learn from mistakes and not repeat them several times in a row. However, if a person does not make decisions on their own and tries to avoid responsibility, then the following question arises: ‘Does this person fit into the team?’

On the one hand, all employees are like a family. They are friends and support each other. But, on the other hand, if someone fails their job, they are farewelled. Everyone is in the same boat, so it is essential to row in the same direction.

Why are designers not on staff at Reprezent, but project-based?

Initially, it was planned that all employees would be on staff, including designers. However, the company realized that the number of orders was unstable. Sometimes there were a lot of orders, and the staff designers could not cope with them on their own. When there were few orders, they sat idle. Thus, the company started cooperating with freelance designers.

It does not mean that they look for a new person when they need to launch a new project. Reprezent works with many designers regularly. The team is well aware of the portfolio of designers from its database and tries to find the most suitable project for each of them in terms of style, interests, and skills.

In this way, freelancers have a regular client and choose the projects they want to work on. They also manage their own working hours. The main requirement is not to miss deadlines. Another advantage for designers is that they do not need to communicate with clients directly. This emotionally demanding part of the work is taken care of by Reprezent employees.

In the new work format, some designers who had once left the company were able to cooperate with Reprezent again. For example, one designer had to leave the company due to moving to another country, and now he works with the company remotely.

Another essential point in working with designers is signing a non-disclosure agreement. At Reprezent, we take the protection of our clients very seriously, so we control the cooperation process with freelancers carefully.

 

I have been working with Reprezent since October 2020 and have worked on more than 70 projects since then. I value our cooperation for pleasant and comfortable communication on an equal footing, interesting tasks, and the opportunity to learn, as well as for a flexible schedule and decent pay. I like that the team has mutual understanding and willingness to help each other.

In less than a year and a half, I developed a lot as a designer, and my work became more complex and interesting. I became more interested in trends and different ways of data visualization. Nowadays, I understand clients' needs and wishes better.

Reprezent invests a lot in training the designers they work with. For example, in 2021, the company organized an educational offline event with workshops on PowerPoint and information visualization. The training was absolutely free. The company paid for the participants’ travel, accommodation, and meals. Also, art and creative directors give designers high-quality feedback, which helps to improve their design skills in general and work in PowerPoint. Therefore, if you cooperate with the company, you can not only develop a presentable portfolio but also improve skills that will be useful for other projects.

The team work in a coordinated manner and have a well-deserved rest

The team uses Slack for remote communication, and a project management system customized to the company's needs to coordinate work processes. There, you can see how much work the team does and whether everything functions properly.

Every one or two weeks, colleagues have Zoom calls to discuss their successes and failures. They share their experience and support each other because the big disadvantage of remote work is that you sometimes feel isolated as if you are one-on-one with a client or project. That's why team calls at Reprezent are no longer for control, but for encouraging each other.

There is a separate Telegram chat with each freelance designer, so all team members know who works on a project and who is ready to start a new project.

Despite working remotely, the Reprezent team is extremely friendly. The team likes to get together for various corporate events and team building. They traditionally celebrate the company's birthday and New Year together. For each meeting, they try to come up with something creative: they attend workshops or escape rooms, have dinner in unusual restaurants, and gather in the office to play board games or What? Where? When?.

I got an interview at Reprezent on the first day of the lockdown in Kyiv in 2020. I can say that I had two changes in my life at that time 🙂 First, I started as a web-researcher and searched for information. Then, I worked as an account manager and managed the company's projects. In early 2023, I became the COO. I monitor internal processes and look for development opportunities. When Reprezent was invited to speak at the PresentToSucceed presentation conference, I traveled to Bulgaria, where I shared our tricks for designing effective graphs and tables. I also wrote articles for the Reprezent blog and other media, and hosted our podcast about speeches and presentations called Stones in the Mouth.

At Reprezent, I like the opportunity to grow. If you have ideas or skills that you want to develop, you will definitely be supported. I also adore the team for their attitude towards each other: no matter what the situation, you know that you will never be left alone with your problems, you can ask your colleagues for advice, find a solution together, or be supported.

Critical thinking and time management are valued here

The specificity of Reprezent's work is that it is not just about design. The ideal candidate must first of all be an analytical thinker and be able to understand the intricacies of the client's business, whether it is an eyelash extension or a pharmaceutical company with a very complex product. After all, you need to prepare a speech or content for a presentation based on the available data. Furthermore, the main task is not just to make a beautiful picture, but to convey a specific idea.

Reprezent values such hard skills as creativity, the ability to immerse into a topic, and literacy. B1 (Intermediate) English level is required for designers, and B2 (Upper-Intermediate) or C1 (Advanced) for account managers. Since the company has many international clients, account managers need to communicate with them, and designers need to understand what the presentation will be about. It is also crucial for designers to know PowerPoint, as it is a key tool for creating presentations. A basic understanding of the program is enough to start cooperation. The Reprezent team will help you master all the subtleties of working in PowerPoint.

The most crucial soft skills are an adequate assessment of a person's capabilities, the ability to solve problems rather than hide from them, and time management skills. For example, if a designer takes on a project but realizes that he or she will not be able to complete the order in time, it is essential to tell the account manager about it in time, rather than doing the work in a hurry and with poor quality. It is also desirable to be creative and have emotional intelligence. If you come up with a great idea and start implementing it, the team will always support you.

Many companies talk about a young and friendly team. Reprezent is no exception 🙂 In this company, you can get help with a complex project even at weekends or finish a presentation at night because the client has an important event tomorrow. If something goes wrong, they will support you and tell you about their failures.

Most of all, I appreciate Reprezent for the development of my skills: design, PowerPoint, copywriting, English, public speaking, and negotiations. The projects themselves are completely different. We can deal with a startup that produces smart plates or create a performance at Big Money. Thus, you learn something new and meet interesting people every day.

Supporting the country and the team during a full-scale invasion

At the beginning of the full-scale war, the company paid all employees financial assistance and provided unlimited days off so that they could take care of their families and their own safety. Today, the team works from different parts of Ukraine and abroad, but colleagues are constantly in touch. They call each other to discuss projects, share news, and happy moments. Reprezent is happy to hire freelancers from Ukraine, regardless of their place of residence, to work on projects.

Since 24 February 2022, the company has donated more than UAH 320,000 to large and small Ukrainian foundations. In particular, the entire revenue from the sale of the ProPowerPoint online course in August and September 2023 was donated to the maya.backpack organization. They buy backpacks with essential supplies and tablets for first-graders from families affected by the war.

Reprezent does not cooperate with companies from Russia and Belarus.

How to get a job at Reprezent?

Most often, the company is looking for freelance designers and copywriters for long-term cooperation. Before starting work, the team looks at the candidate's portfolio and gives them a small test. If everyone is satisfied, the candidate gets the first task.

Reprezent also has vacancies for account managers or other full-time employees. When looking for a person to join the team, they review CVs and test task and invite the candidates to an online interview. The candidate is given the most honest description of the specifics of the job and told what they need to be prepared for. Next, they offer to do a paid internship so that the person can get to know the company and vice versa. If both parties are ready to continue cooperation after this period, the intern becomes a full-fledged member of the Reprezent team.
