The goal of the CSO-funded VIA 2.0, URRF and UVRR programs is to advance Ukraine’s stabilization by fostering IDP integration, helping veterans and providing rapid response.

IREX office in Ukraine is seeking a highly-organized and detail-oriented professional to fill the position of Program Assistant for its CSO-funded Ukraine portfolio of programs. The Program Assistant will provide administrative support to the Project Director to ensure the smooth operation of CSO-funded programs and supporting the overall goals of IREX. The position is based in Kyiv.

Your Background & Skills

  • Minimum of two years of experience, preferably in the NGO sector and on technical assistance projects
  • Bachelor’s degree in relevant field.
  • Excellent knowledge of Ukrainian
  • Good knowledge of English
  • Strong intercultural and communications skills
  • Skilled at handling multiple tasks and able to maintain a calm, friendly demeanor under stressful situations
  • Strong inter-personal skills, outgoing personality, and ability to work independently and effectively under pressure and on strict deadlines and in a multi-cultural setting
  • Excellent writing skills
  • Strong interpersonal and organizational skills
  • Advanced knowledge of MS Office applications
  • Ability to travel (if security situation in Ukraine allows)
  • Must demonstrate valid proof of unrestricted work authorization in Ukraine

Your Daily Tasks

  • Assist the Project Director in daily administrative tasks, including scheduling meetings, managing calendars, and preparing documents;
  • Prepare first draft of documents, letters and reports – edit and review documents drafted by others for dissemination by the Project Director
  • Assist in coordinating program activities to ensure timely completion of project phases and accurate documentation
  • Plan and coordinate logistics for Director’s participation to internal and external events. Assisting the Project Director to plan trips and ensures effective logistics items (flights, visas, 2 travel advance, travel request, itinerary table + contacts, invitation letter, hotel confirmation, related travel documents) are up to date;
  • Maintain and organize project files, records, and documentation;
  • Communicate with project stakeholders, team members, and external partners to facilitate project progress;
  • Prepare and distribute meeting agendas, minutes, and follow-up action items;
  • Assist in the preparation of project reports, presentations, and other communication materials;
  • Provide logistical support for project-related events, workshops, and training sessions;
  • Assist program staff as needed and provide general support to staff including photocopying, filing, note-taking, and other relevant duties;
  • Translate program-related documents (English and Ukrainian);
  • Assist with writing reports and monthly plans;
  • Perform other duties as assigned by the Project Director.
