GENERAL FUNCTION

Internews’ AUDS project seeks an experienced Grants and Events Coordinator. The G&E Coordinator will be a part of the team managing a new four-year project aimed at enhancing public access to independent news and information on issues that affect citizens’ lives in Armenia, Georgia, Moldova, and Ukraine. The project will enhance the safety and security of human rights organisations/activists and independent media and improve the quality of media content and financial sustainability of select media outlets in the four target countries.  The G&E Coordinator will report to the AUDS Project Director.

KEY RESPONSIBILITIES

Sub-grants and consultants’ management
  • Manages sub-grants throughout the lifecycle of the project; reviews narrative and financial reports, organises sub-grants close out. In cooperation with Project Director helps potential sub-grantees to develop and refine project proposals and budgets;
  • Monitors sub-grantees to ensure the implementation of their sub-grants is in line with sub-grant agreements; highlights major implementation issues to Project Director and Programme Officer;
  • Contributes to donor and Internews’ internal project narrative and M&E reports;
  • Prepares and conducts inductions and trainings to partners on grant management and compliance. Carries out field visits and calls as necessary;
  • Leads on process of due-diligence in preparation for sub-granting to local partners. Prepares partnership, sub-granting agreements, making sure that they comply with Internews’s and donor requirements;
  • Builds grant-management capacities of local partners;
  • Files and archives project documentation with HQ;
Logistical support
  • Provides logistical support for the organisation of events in E&E; travels to the region to support logistics;
  • Makes travel arrangements for project staff and consultants as required for their participation in project events;
  • Reconciles/reviews AUDS staff and contractors’ travel expense reports, expedites payments;
Procurement of services, budget management and compliance monitoring
  • Organises procurement of services, manages, files and archives procurement records;
  • Compiles, reviews and reconciles corporate credit card monthly reports;
  • Develops budget spending projections in cooperation with Project Director and AUDS staff;
  • Regularly reviews grant management schedules to ensure timely submission of donor deliverables; and reports;
  • Provides training and guidance to sub-grantees and consultants on organisational and donor compliance as required. Seeks Project Director and Programme Officer’s advice when necessary;
  • Provides briefings to sub-grantees on contractual donor requirements; provides advice to project sub-grantees and beneficiaries on compliance questions throughout the project cycle as required.

QUALIFICATIONS AND EXPERIENCE

  • Self-starter and dynamic with strong level of self-awareness
  • Experience of grant administration and donor financial reporting
  • Experience of organisation of events
  • Excellent communication skills both oral and written
  • A high level of numeracy skills, and ability to review, manage and carry out budget analysis
  • Willingness and ability to travel with an understanding and appreciation of culture and diversity
  • Exceptional organisational and administration skills
  • Expertise in Microsoft Office, particularly Excel

KNOWLEDGE

  • Knowledge of Sida’s regulations and systems is an asset
  • Good understanding of the sub-granting cycle

LANGUAGES

  • Fluent English
  • Native Ukrainian and/or Russian
