What will you do in this position?

Coordinate, implement and control a full range of business support services in support of the WFP office in L’viv to ensure that services are delivered efficiently and effectively.

More than 6 million Ukrainians have been internally displaced and more than 6 million have left the country. Many of those who remain have lost their livelihoods, especially in areas close to the front lines. Millions who fled their homes to the country’s West are preparing for long-term internal displacement. Many who have returned to liberated areas around the capital, Kyiv, are struggling to rebuild their lives, having run out of money or found their homes reduced to rubble.

WFP is quickly scaling up to support 4.7 million people per month inside Ukraine, using a flexible mix of food and cash assistance. We support people wherever they are, including in areas close to the front line.

How can you make a difference?

In this position you will have to:

1. Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc. and conduct research in the area of work.
2. Actively seek and use feedback to improve business processes and procedures.

3. Provide dedicated executive assistant support.
4. Respond to complex business support queries in order to provide a timely and accurate resolution of enquiries for clients.
5. Oversee the maintenance of records and databases to ensure information is organised and readily available for staff and compliant with all relevant regulations and policies.
6. Prepare, revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
7. Assist managers in planning, monitoring and reconciling budget(s) to ensure that planned financial resources are used effectively.
8. Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
9. Provide a full range of business support services to staff to contribute to the effective functioning of business operations.
10. Contribute to planning, monitoring and processing business support actions related to procurement, finance, human resources, and others, and that actions are processed in WFP corporate systems and any operational issues addressed.

11. Provide advice, support and/or training to junior support staff in the provision of business support services, in order to support their learning in providing business support as required.
12. Coordinate tasks of junior colleagues to ensure support services are delivered consistently and to the required standards as necessary.

13. Other duties as required.

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience: Six or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. Specialised knowledge of the application of common business processes, practical business support methods, procedures and systems used in area of work, gained through technical training and work experience.

Language: Fluency in both oral and written communication in the English and Ukraine language.
