Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) in Ukraine is seeking a qualified professional for the Country Office to fill the position of the

HR Assistant (full-time, Kyiv)

Main tasks:

  • Dealing with all types of HR-related requests from national staff.
  • Smooth cooperation with the third party GDIP (General Directorate for rendering services for diplomatic missions).
  • Documenting of main staff administration documents (employment, resignation, vacations etc).
  • Proper filing of all the documentation (personnel files, orders, staff requests etc) both digitally (SAP, DMS etc) and in hard copies.
  • Tracking of all types of absences of national staff.
  • Supporting HR Specialist in performance evaluation process launch and analysis.
  • Organization of developmental activities (trainings) for the staff according to the plan.
  • Ensuring training certificates are delivered to participants and filed to personnel folder.
  • Supporting HR Specialist in enrolment of the staff to Medical insurance program.
  • Organizing timely payment on the invoices, related to HR (trainings, service fee to GDIP, translation etc).
  • Ensuring smooth exchange of the documents between HR Unit and GIZ UA employees (Employment Contracts, Certificates etc).
  • Assisting in implementing policies for national personnel.
  • Assisting with formulating and updating a wide range of HR information materials.
  • Assisting with developing HR procedures and instruments.
  • Supporting HR team in their daily work in different aspects.

Requirements:

  • BA/MSc degree in social sciences or psychology (if possible, with a focus on HR management) or comparable degree.
  • Initial experience in assistant role or experience in HR field would be an asset.
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office, Teams).
  • Basic knowledge of HR management, knowledge of national labour and social law would be an asset.
  • At least upper-intermediate level of English language, German language would be an asset.
  • Awareness of how to handle HR issues appropriately (confidentiality, data protection).
  • Very good communication skills and client-orientation.
  • Stress-resistance and good time-management skills.
  • Readiness and desire to work in the office.
