What project we have for you:

Intellias’ IT team is searching for a puzzle-solver, able to streamline internal efficiencies; search-own-destroy internal redundant tasks, coordinate cross-functional efforts under the direct supervision of Vice President IT, and guide more than a hundred talents through the dark forests of budget execution.

What you need for this:

  • 2-3 years of experience as an executive assistant, team, or project coordinator;
  • Deep, hands-on, advanced usage experience of Microsoft 365 Suite;
  • Close-to-artistic abilities when it comes to PowerPoint presentations and pivot tables;
  • Knowledge of the modern toolkit that makes life easier (including GenAI, LLMs, etc.);
  • Understanding of relations, processes, and intricacies of an IT team;
  • Excellent time management and organizational skills;
  • Strong communication skills;
  • Emotional maturity;
  • Fast learner capable of acquiring new expertise;
  • Excellent scheduling and record-keeping skills;
  • Upper-Intermediate level of English is a must.

What you will do:

  • Streamline internal efficiencies:
  • Be assigned redundant tasks such as planning meetings and writing minutes.
  • Propose said redundant task automation with the latest technologies (GPTs, MS Co-pilot, Viva Insight) or simple honest coding.
  • Manage anyone needed from a team of 100+ talents to achieve task elimination.
  • Proudly push results to scale company-wise.
  • Make sure critical jobs are done:
  • Work directly with VP IT overseeing execution of top 3-5 tasks, critical for function evolution.
  • Collect task status from responsible parties.
  • Coordinate efforts and priorities with the widest authorities.
  • Crunch the budget:
  • Coordinate budget creation along with related input data such as TCOs, license portfolios, etc.
  • Work with Finance peers to facilitate the budget approval process in terms of who-does-what.
  • After the budget is signed off, set and own proper reporting from respective internal budget consumers.
  • Be the holder of single-source-of-truth data when it comes to budget numbers.
