Open to Internal and External Candidates

Position Title: Project Assistant (IP Monitoring)

Duty Station: Mykolaiv, Ukraine

Classification: General Service Staff, Grade G4

Type of Appointment: Special Short-Term, Six months with the possibility of extension

Estimated Start Date: As soon as possible

Closing Date: 18 February 2024

Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.

Context:

Under the overall supervision of the Chief of Mission and the Monitoring and Evaluation Officer, and direct supervision of the Senior Project Specialist (IP Monitoring), the successful candidate will provide general support to the implementation of IOM, Mission in Ukraine’s efforts with regard to reporting, monitoring, evaluation and accountability.

Core Functions / Responsibilities:

  1. Participate in drafting data collection tools, templates, and assist in regular data collection process to monitor the progress and results of project implementation agreements with Implementing Partners;
  2. Assist in maintaining relevant databases;
  3. Collaborate across various project teams to support timely collection of data on project activities
  4. Undertake duty travels within Ukraine to conduct post distribution monitoring of implemented activities and to establish links with focal points in various communities for data collection purposes;
  5. Assist in compiling M&E reports for project implementation agreeements implemented through implementing partners, contributing to ad hoc project progress or final report.
  6. Assist in collecting survey responses, case stories, best practice documentation, lessons learned; updating and maintaining that information in project’s reports and other knowledge products;
  7. Participate in virtual and offline internal and external monitoring through assisting in organizing and facilitating various events such as meetings, workshops, conferences, and seminars;
  8. Assist IOM’s CFM mechanisms in the receipt, referral and processing of complaints and feedback from beneficiaries, non-beneficiaries, partners, stakeholders and/or communities.
  9. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • School diploma with four years of relevant experience; or,
  • Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with two years of relevant professional experience.

Experience

  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook;
  • Attention to detail, ability to organize paperwork in a methodical way;
  • Discreet, details and clients-oriented, patient and willingness to learn new things;

Languages

For all applicants, fluency in Ukrainian and English is required (oral and written). Working knowledge of Russian or other languages is an advantage.

A prerequisite for taking up the position is legal residency in the country of the duty station and work permit, as applicable.
