The objective of the assignment:
Providing support to the project leadership in the daily management of the Mine Action Support Project Team (Team) (please see Annex 1 for Team composition) of national and (or) international experts within the Project “Strengthened Capacity for Integrated National Governance of the Mine Action Sector in Ukraine” funded by the European Commission (EC) and implemented by the Central Project Management Agency (CPMA).
At the administrative and reporting level for project results the Team will report to the CPMA; at the day-to-day project implementation level the Team will report to the First Deputy Prime Minister of Ukraine – Minister of Economy of Ukraine and Deputy Minister of Economy of Ukraine and will act as an analytical unit to strengthen Ukraine’s integrated national mine action governance capabilities.
The Team will have to conduct its activities in close cooperation with the state institutions responsible for and involved in mine action activities, such as the Centre for Humanitarian Demining, the National Mine Action Authority, the State Emergency Service of Ukraine, and others.
Project assistant will provide administrative, organizational, analytical, and other assistance to the Team members. Two assistants are planned in the project. The work of both assistants will be coordinated with each other, but will not be duplicated.
Tasks:
- Support effective collaboration within the project components as well as partners, stakeholders, experts, trainers, regional coordinators, and key stakeholders; prepare presentations, drafting e-mails and other documents,
- Communicate with suppliers and other subcontractors and prepare documentation in line with procurement requirements. Review financial documents, and other contractor’s requests.
- Management of the Team’s Google Drive, Zoom account, calendar etc.;
- Assistance to the Project Manager in drafting and reviewing ToRs;
- Collecting and keeping various internal data, e.g., short bios of staff etc.;
- Assist in the organization of program events, including trainings, meetings, and workshops, including designing materials, managing project deadlines, and ensuring compliance with the budget.
- Maintain meeting notes, summaries of the meetings, and other written communication materials.
- Provide support to monitoring, evaluation activities and data collection activities by drafting project-related documents, financial payments, reports, and success stories, and other types of programmatic documents.
- Communicate with the CPMA as necessary, and assist with activities related to the organizational aspect of the project.
- Attend and report on project events and meetings.
- Provide logistics/arrangements support for staff and project participants.
- Translate program-related documents (English-Ukrainian and vice-versa).
- Other duties as assigned.
Requirements:
- University degree in one of the following fields: economics, law, public administration, international relations, project management, social sciences, foreign languages, or equivalent comparable fields;
- Not less than 1 years of experience in a project assistant, analytical or administrative capacity in international companies, organizations, technical assistance projects, Ukrainian state authorities, or civil society organizations;
- Ukrainian – fluent, English – advanced (C1) or above.
Kyiv-based position, long-term.
