ORGANIZATIONAL OVERVIEW 

FHI 360 is a US-based NGO dedicated to improving lives in lasting ways by advancing integrated, locally driven solutions.   FHI 360’s Crisis Response Team is responding to the humanitarian emergency in Ukraine through integrated health, nutrition and protection programming focused on decreasing morbidity and mortality among the conflict-affected population.

POSITION OVERVIEW 

Under supervision of the Grants and Partnerships Coordinator, the Grants Officer is responsible for supporting overall/cross-cutting grants coordination, partnerships, and reporting needs. The Grants Officer will maintain contacts and coordinate with authorities, donors, INGOs, clusters and partners to share information and collect updates and needs; will ensure that FHI 360 registration and other project documents are up to date; will support program sectors in the preparation of communication materials and reports both internally and externally; will represent FHI 360 with stakeholders as needed. Grants Officer is responsible for ensuring that assigned portfolio of projects are meeting their deliverables on time, on scope and are compliant with donor and organizational guidelines.

KEY RESPONSIBILITIES AND DELIVERABLES

  • Responsible for donor communications, including formal and informal reporting and ensuring the project teams are delivering high-quality and timely reports.
  • Support in approval requests for the donor, reviewing and editing submission before being submitted to the donor.
  • Facilitates grants opening and closing workshops with relevant departments.
  • Communicates grant proposal and report requirements to all individuals involved in an efficient manner.
  • Assists the project teams with the coordination and management of grants, project materials, and information, including maintaining and organizing project documentation on relevant project online folders.
  • Collects information for use in reports, reaching out to different departments, grantees, and partners for information and implementation updates.
  • Sends reminders to keep team on track with reporting deadlines and technical deliverables.
  • Provides administrative support to projects as needed by writing, reviewing, and translating reports and project documentation.
  • Serve as a primary person responsible to apply for and maintain up to date project registration for FHI 360 humanitarian projects, including serving as the focal point with donors and the Cabinet of Ministers.
  • Monitor and update FHI 360 accreditation card, as needed, including liaising with other FHI 360 projects.
  • Provide communications support as needed to highlight project achievements.
  • Maintain key contacts with peer INGOs and government partners to share information and stay up to date on changes/developments in the humanitarian space; represent FHI 360 externally with stakeholders when needed.
  • Keep FHI 360’s external project contacts list up to date, document key contacts and meetings.
  • Support FHI 360 active membership in the NGO forum or other national level coordination bodies including Cluster representation.
  • Fulfills other administrative and special project duties as assigned.

DESIRED QUALIFICATIONS 

  • Bachelor’s Degree or its International Equivalent in International Relations/Development, Humanitarian Aid, Business Administration, Communications, or any other related Social Studies.
  • Typically requires a minimum 3 years of experience in grants management and reporting, and/or project development in a development/humanitarian context.
  • Desired prior work experience in a non-governmental organization (NGO), government agency, or private company in humanitarian assistance or related industry experience in a relevant technical area.
  • Desired knowledge of reporting processes of institutional donors, preferably UN agencies.
  • Strong oral and written communication skills in English.
