Context:
Under the overall supervision of the Chief of Mission and Senior Resource Management Officer, the direct supervision of the Fleet and Premises Officer, the Fleet Coordination Assistant will be responsible for providing necessary support in matters of the fleet coordination, fleet-related procurement, administrative management for IOM Mission in Ukraine.
Core Functions / Responsibilities:
Based on the travel requests from IOM staff and in coordination with Fleet and Premises Officer, Senior Driver, and where appropriate relevant Hub Leader, plan, coordinate and monitor movement of all vehicles and distribution of tasks among the drivers in the most efficient way.
Keep records of the travel requests in the appropriate form (drivers’ calendar or as specified) and provide analysis of such statistics to maximize the effectiveness of the Fleet. Suggest new ways to improve efficiency and cost-effectiveness of transport service in the office.
Coordinate with IOM Supply-Chain team, commercial providers, and any other relevant parties the delivery of the vehicles procured by IOM.
Coordinate the process of registration/deregistration of IOM vehicles with the relevant Ukrainian authorities (MFA, Customs, MoI, etc.).
Plan and coordinate service and maintenance of IOM vehicles, including regular maintenance, procurement of necessary parts, ordering and procurement of gasoline, service or gas cards, payment of fines and penalties, etc.
Participate in planning of staffing needs and the process of hiring of IOM drivers.
Coordinate relations with commercial companies providing driving services for IOM, such as rented cars’ companies or shuttle service companies.
Coordinate relations with parking space providers, including contracts, payments, etc.
Ensure all drivers, including those provided by rental vehicle companies, always have a valid driving license, and undergo proper security briefing and training on the use of radios or any other security equipment assigned to drivers. Monitor the compliance of drivers to security advisories in coordination with the Staff Security Unit.
Perform such other duties as may be assigned.
Required Qualifications and Experience
Education
High school diploma or equivalent with at least seven years of relevant work experience
OR
Bachelor’s Degree (or equivalent) (preferably in business administration, management or logistics) with at least five years of professional work experience.
Experience
Managerial and/or supervisory experience is expected from the incumbent
Experience in fleet management is an advantage
Knowledge of management principles/fleet management principles
Excellent level of computer literacy
Good knowledge of SAP/PRISM an advantage
Languages
Fluency in English, and Ukrainian (oral and written) is required.
